Tips for Sage Intacct: Mobile Access and Remote Workforce

April 02, 2020

Learn about collaborating and accessing your Sage Intacct accounting software while you are working remotely.

Here are a few tips on how to use your Sage Intacct accounting software solution to make your life easier as you work from home (WFH) due to COVID-19. For some, this change can be uncharted waters and create anxiety as we try to rapidly adjust for this new situation. This article will cover four main areas in which Sage Intacct accounting software can make a difference:

  • Allowing users to WFH or anywhere else, anytime
  • Allowing full drill-down from any device, anywhere, anytime
  • Allowing workflow approvals via mobile device — any device, anywhere, anytime
  • Collaborating effectively using Sage Intacct Collaborate

WFH or Anywhere Else, Anytime

Sage Intacct is a multi-tenant, cloud-based financial management solution, which means as long as you have an internet connection and a modern browser (e.g. Mozilla Firefox, Google Chrome, Microsoft Edge, Safari), you can easily work from home — or anywhere else for that matter — anytime.

Because Sage Intacct accounting software is browser-based, there is no need to install software or an app; simply open a browser on your favorite device, navigate to sage.com, click the sign-in link in the upper, right-hand corner, and login. Sage Intacct allows you to instantly morph your office-bound workforce into a highly effective, remote workforce.

Concerned about security? With a few simple clicks, an admin can easily implement two-step verification and single sign-on (SSO), as well as limit logins by IP address. For detailed information, go to the Sage Intacct Help Center inside your application and search for "company information."

Full Drill-Down From Any Device, Anywhere, Anytime

Just because you're working from home doesn't mean you don't need access to the same vital information you did when in the office. In fact, just the opposite is true. Now, more than ever, it is critical for you to view your Sage Intacct dashboards, KPIs, charts, graphs, and reports.

Sage Intacct Dashboard

Regardless of whether you're accessing Sage Intacct on a PC, laptop, iPad, Surface, smartphone, or any other device, you have all the same drill-down capabilities at your fingertips. This means you can drill down into the underlying information in order to make effective, timely decisions, so that you can adapt quickly to the daily changes we're experiencing during the COVID-19 pandemic.

Want to know why that expense is so large in the pie chart? No problem; simply touch the slice on your iPhone. Want to understand where that revenue figure is coming from on your P&L? Not an issue; simply click the link in the report from your laptop. The information is waiting for you and the decision is just a few clicks away.

Workflow Approvals Via Mobile Device — Any Device, Anywhere, Anytime

Having a remote workforce doesn't mean you have fewer demands. Employees still need to purchase items, submit expense reports, enter time, input AP bills and create journal entries. And executives, managers and department heads still need the controls in place that keep your organization running effectively and efficiently.

As long as you have an internet connection and browser, your managing staff can view, approve, reject and delegate approval workflows from any device, anywhere, anytime. And because Sage Intacct's approval workflows are entirely electronic, no paper and no physical contact is required — this is especially important during this critical time of working remotely.

Sage Intacct accounting software has a variety of approval workflows available, some of which depend on ancillary modules. Here is a list of approval workflows segmented by module.

  • Core Subscription
    • General Ledger
      • Journal Entry Approval
    • Accounts Payable

      • Purchase Order Approval
      • Vendor Invoice Approval

      • Time Entry Approval

      • Expense Report Approval
      • Expense Reimbursement Approval

Collaborate Effectively Using Sage Intacct Collaborate

If the COVID-19 pandemic has brought anything to light, it's the importance of collaboration and teamwork. Organizations are using technologies like Zoom and Teams, and using social media platforms, such as Twitter and LinkedIn.

The problem with these technologies is they exist outside your financial management system. Enter Sage Intacct Collaborate. Collaborate is a social media tool built right into Sage Intacct. And best of all, it's part of your core software subscription!

Once implemented, near the bottom of every master record and transaction within Sage Intacct appears the Collaborate fields that allow you to post a comment, upload a file, post a link, follow the record and more. Now you can have meaningful conversations around records and transactions that get memorialized in your Sage Intacct system, not stuck in someone's Outlook.

For example, perhaps you're experiencing a problem with year-end closing this year and it's the same issue you had last year. How did we resolve this last year? Instead of those conversations, and the solution being stuck in email-land, it's part of your Sage Intacct data — easily searchable.

Have a question about an AP bill? Ping the appropriate person just as you would on LinkedIn — "@someone, why is this expense so high?" Based on your preferences, you'll receive a notification when the person responds.

Collaborate conversations can also be added to your dashboards, including private and public groups you've created. You have the ability to take a snapshot of a dashboard component, mark it up, and insert it into your posts, providing your communications with enhanced context and clarity.

Finally, because Collaborate is an electronic form of communication embedded directly into Sage Intacct, it's perfectly suited for a remote workforce to leverage for team collaboration and COVID-19-free communication.

Certainly no one knows how long the COVID-19 pandemic will keep us working remotely, but with Sage Intacct accounting software you can keep your organization not only up and running but doing so efficiently and effectively.
